Digital signatures via DocuSign

Contracts must be legally binding, and for this they need legally valid signatures. Therefore, all contract partners used to have to sign on paper documents. This often was time-consuming when those partners were located in different corners of the country or even on different continents. This problem is solved by the electronic signature from DocuSign: it allows contracts to be provided digitally, countersigned by electronic signature - with ease at any time and from any location - and the agreements to be archived. TA Triumph-Adler customers are now able to use this solution as well. Together with DocuSign, which is the world market leader for digital signatures with more than one million customers and one billion users, we are now able to offer our customers this solution. With DocuSign eSignature, our customers can sign their employment, purchase and leasing contracts just as easily and in a time-saving manner as they can sign invoices or purchase orders. Or anything else that needs a legally valid signature.

This is how the electronic signature works

The procedure is simple. The contract is uploaded as a PDF at the sender's and the signature, text and date fields are placed at the required location. Once "Send" is clicked, DocuSign sends a link by email to the recipient, allowing them to access the document. Simple instructions guide the recipient through the signature process. Sign and click on "finish" - and the signed document is saved.

Data protection and data security

  • DocuSign eSignature fulfils the highest security standards such as the US ESIGN Act or the EU eIDAS regulation and only uses the most powerful data encryption technologies available. The data centres are located in Frankfurt, Paris and Amsterdam.
  • Hosting and storage are provided entirely by DocuSign.
  • No third-party providers (e.g. AWS) are integrated.
  • Certified according to ISO 27001, SOC 1 Type 2 and SOC 2 Type 2
All data is processed in accordance with the GDPR requirements.
The ECM solution from TA Triumph-Adler enables the common types of electronic signatures. A distinction is made between three levels of electronic signature:
  • Simple electronic signature: This is used to sign a document. It is used for transactions with a low legal risk - for example orders or travel expense reports.
  • Advanced electronic signature: It is clearly assigned to the signatory and is suitable for transactions with a medium legal risk - for example, offers or contracts.
  • Qualified electronic signature: This is equivalent to a personal signature and offers the highest evidential value of digital signatures. It is suitable for transactions that require a handwritten signature - for example, consumer loans or temporary employment.
